1. Who we are
This Privacy Policy explains how Westgate IT Hub Pvt. Ltd. (“Westgate”, “we”, “us”, “our”) handles personal data collected through westgateithub.com and in the course of supplier onboarding, client engagement, and partnership discussions.
Westgate is the data controller for the information described here. Our registered office is at No.6, 2nd Floor, Jayanagar Housing Society Layout, Uttarahalli Main Rd, Kumaraswamy Layout 2nd Stage, Chikkalasandra, Bengaluru, Karnataka 560061, India.
2. What we collect
We collect only what we need in order to respond to you and to run a governed supplier and client network.
Information you give us
- Enquiry form data — full name, business email address, company name, phone number, enquiry subject, company size, and the content of your message.
- Supplier onboarding data — company registration and corporate details, capability and certification information, delivery capacity, compliance documentation, and named commercial and technical contacts.
- Correspondence — email, phone, and meeting records relating to an enquiry or an active engagement.
Information collected automatically
- Technical data — IP address, browser type and version, device type, operating system, referring URL, and pages visited.
- Usage data — how you navigate the site, which pages you spend time on, and which links you follow.
We do not knowingly collect special category data (such as health, biometric, religious, or political data) and ask that you do not submit it through our forms.
3. How we use it
- To respond to enquiries and route them to the right team.
- To assess supplier fit and complete structured onboarding, verification, and readiness checks.
- To match supplier capability to Western client requirements and to support proposals, bids, and tenders.
- To manage active engagements, including governance, allocation, and service levels.
- To operate, secure, and improve the website and our internal processes.
- To meet legal, regulatory, tax, and contractual obligations.
We do not sell personal data, and we do not share your details with unrelated third parties for their own marketing.
4. Lawful basis
Where the UK GDPR, EU GDPR, or India’s Digital Personal Data Protection Act, 2023 applies, we rely on the following grounds:
- Legitimate interests — responding to business enquiries, operating and securing our network, and pursuing business-to-business relationships, balanced against your rights.
- Performance of a contract — onboarding, managing, and delivering engagements with suppliers, clients, and partners.
- Consent — where you have opted in, for example to optional analytics cookies. You may withdraw consent at any time.
- Legal obligation — where retention or disclosure is required by law.
5. Who we share it with
We share personal data only where there is a clear reason to, and only with recipients bound by confidentiality and data protection obligations:
- Clients and delivery partners in Western markets, where a supplier is being matched to a specific opportunity and has agreed to be introduced.
- Ecosystem platforms we operate or work with, including TalentedStaff.com, where the engagement runs through that platform.
- Service providers that support our operations, such as email delivery, hosting, and analytics providers, acting on our instructions.
- Professional advisers and authorities, where required for legal, audit, tax, or regulatory purposes.
6. International transfers
Because Westgate connects Indian suppliers with Western clients, personal data may be transferred outside India, including to the United Kingdom, the European Economic Area, the United States, Canada, and Australia. Where such a transfer takes place, we put appropriate safeguards in place — typically standard contractual clauses, an adequacy decision, or equivalent contractual protections — so that your data continues to be protected.
7. How long we keep it
- Enquiries that do not progress — up to 24 months from last contact.
- Supplier onboarding records — for the duration of the relationship and up to 7 years afterwards, where required for contractual, tax, or audit purposes.
- Website technical logs — typically up to 12 months.
When data is no longer needed we delete it or irreversibly anonymise it.
8. Security
We apply technical and organisational measures appropriate to the risk, including encryption in transit (HTTPS), access controls on internal systems, rate limiting on public forms, and restriction of personal data access to staff who need it for their role. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take these obligations seriously and review them regularly.
9. Your rights
Subject to the law that applies to you, you may have the right to:
- Access the personal data we hold about you.
- Have inaccurate or incomplete data corrected.
- Request erasure of your data where we no longer have grounds to keep it.
- Restrict or object to certain processing, including processing based on legitimate interests.
- Receive your data in a portable, machine-readable format.
- Withdraw consent at any time, without affecting processing already carried out.
- Nominate another person to exercise these rights on your behalf, where the DPDP Act applies.
- Complain to a supervisory authority, such as the Information Commissioner’s Office in the UK or the Data Protection Board of India.
To exercise any of these, email ayush@westgateithub.com. We respond within 30 days and may ask for proof of identity first.
10. Cookies and analytics
The site uses a small number of cookies and similar technologies:
- Strictly necessary — required for the site to function and to protect forms from abuse. These cannot be switched off.
- Analytics — aggregate measurement of how the site is used, so we can improve it. Where required by law, these are set only with your consent.
Most browsers let you block or delete cookies through their settings. Blocking strictly necessary cookies may stop parts of the site working.
11. Children
This is a business-to-business website. It is not directed at children, and we do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will delete it.
12. Changes to this policy
We may update this policy to reflect changes in our operations or in the law. The “last updated” date at the top of this page always shows the current version. Where a change is material, we will take reasonable steps to notify affected suppliers, clients, and partners directly.
